Underbelly Boulevard will be a new live entertainment venue for music, cabaret, variety and comedy, comprising of a 200 capacity cabaret and music venue, a rehearsal room for hire, daytime hire for events, readings and workshops, a bar and a restaurant.

 

JOB PURPOSE

To oversee the day-to-day operations of the Boulevard box office including, but not limited to, managing agency sales and campaigns, setup and technical support, staffing, customer service and reporting.

ROLE

Box Office Administration

  • Managing third-party selling via various agents including, but not limited to, event listing and setup, allocation management, API integration and reconciliation.
  • Identifying third-party ticket sellers that can meaningfully increase sales and working to establish and maintain relationships with those organisations.
  • Attending regular marketing meetings and providing feedback, analysis and ideas for setting and meeting sales targets.
  • Liaising with external producers, ticket agents and marketing agencies to maximise sales for specific shows.
  • Managing and producing specific customer databases for email communications.

Technical Support

  • Installing and first-line troubleshooting of all box office equipment including computers, ticket printers, card machines, phones and networking.
  • Liaising with in-house marketing department and external website company to ensure tickets go on sale at specific times and dates.

Staffing

  • Recruiting all casual box office staff.
  • Creating and maintaining rotas for box office staff.
  • Ensuring all hours are reconciled, ready to be processed by payroll department.
  • Induction, training and development of box office staff.

Customer Service

  • Responding to serious or escalated customer complaints.
  • Managing the administration of cancelled shows or other interruptions to ticketed activities.

Reporting and Financial Reconciliation 

  • Providing sales and other reports for the rest of the organisation or external agencies as required.
  • Checking third-party agency sales and preparing reports for settlement or other purposes.
  • Liaising with the finance department to ensure all outstanding payments are received promptly and in accordance with our sales records.

Other Duties

  • Keeping up to date with developments in ticketing and box office management.
  • Attending regular company meetings.
  • Contributing to the development of the venue’s policies and procedures.
  • Any other duties as reasonably required.

 

PERSON SPECIFICATION

  • Previous experience of working in a box office at a supervisory or management level.
  • Experience of managing a team.
  • Confident, enthusiastic, professional and self-motivated.
  • Strong communication skills and leadership skills.
  • Ability to work calmly and efficiently under pressure.
  • Ability to recognise potential health and safety issues before they arise.
  • Demonstrable knowledge of customer service principles, including resolving issues and handling unhappy or difficult customers.
  • Accuracy and attention to detail.
  • Excellent timekeeping skills.
  • Can do attitude.
  • Sense of urgency.
  • Positive and flexible approach.
  • Ability to work effectively in a team whilst also being able to work independently.
